From Personalkollen to Simflexity – two restaurants up and running in under an hour

Casa del Cava and Vinkällaren by Slussen switched their workforce system. In less than an hour they were up and running with people, time clock and scheduling. Then the next important step awaited: the first payroll.

On a sunny day in June, we sat down at Casa del Cava by Slussen with Lois. He had decided to switch workforce system – from Personalkollen to Simflexity – for both Casa del Cava and Vinkällaren. The question was how long it would take to get started.

Up and running right away

The answer: not long at all. We started by adding the staff, set up the time clock and created the schedule. In less than an hour, the basic setup was in place – and the first employee could clock in.

From there, things rolled on. The whole team downloaded the app, filled in their details and added their availability. Scheduling, clocking and time reporting were up and running at both restaurants.

The first payroll – the real test

Getting started is one thing. The first payroll run is something else. That is where you find out whether the system really holds up.

We were honest with each other from the start: we would do the first payroll together. And it was needed. A few clock-outs had been forgotten, a couple of payslips needed adjusting, and everything had to be ready by the cut-off on the 19th – with payment on the 25th.

We sat down together, went through the time reports and corrected what was needed. Payslips and payments went out on time. After that, the flow was running for real.

Simpler – and cheaper

Today, both Casa del Cava and Vinkällaren run their entire staff flow in Simflexity: scheduling, time clock, time reporting and payroll. And the cost is lower than in the previous system.

”We have saved a lot compared to our previous system.”

For Lois, it comes down to two things: that the system is simple – for him as the one planning, and for the staff using it every day – and that the relationship is personal. When something needs solving, he knows who to talk to.

A collaboration that continues

We keep developing Simflexity together with Casa del Cava and Vinkällaren. Their everyday – two restaurants, one team and a lot that needs to hold together – is exactly the kind of reality we build for.

  • 2 – restaurants
  • Under 1 hour – until the basic setup was in place
  • One flow – from scheduling and clocking to payroll
