From gig platform to complete workforce system – Caliente's journey with Simflexity
Caliente has been part of Simflexity's journey almost from the start. From the first payouts after gig shifts to a connected workforce system for scheduling, time reporting, payroll and tips. Today, their two central Stockholm restaurants use Simflexity for 56 employees.
- 2 – restaurants
- 56 – employees
- 2024 – the time clock was introduced
”The best part is that everything is connected. From scheduling and worked time to payroll. We spend much less time on administration – and our employees have everything directly in the app.”
A collaboration that started with gig work
When Simflexity was still a platform for gig work, Caliente was one of our early customers.
Back then they used one of our first services: the ability to get paid right after a worked shift.
That became the start of a collaboration that has continued through several major changes to Simflexity.
When we later developed Pay-on-Demand for gig workers, Caliente was along for the journey.
And when Simflexity began evolving into a complete workforce system for restaurants, the collaboration became even more important.
In the summer of 2024 we took the next big step
Caliente needed a time clock that worked in the everyday life of their restaurants.
So during the summer of 2024, we developed the Simflexity time clock together with them.
In August, the staff started clocking in and out.
It was an important milestone.
We had gone from handling individual gig assignments to becoming part of the daily staff management of a restaurant business.

56 employees – from hiring to payroll
Today, Caliente's restaurants on Fleminggatan and Drottninggatan use Simflexity for large parts of their staff administration.
26 people work at Fleminggatan and 30 at Drottninggatan.
New employees are registered and sign their employment contracts directly in the app with BankID.
Schedules are created, staff clock in and out, and time reports are reviewed and approved.
Then come payslips, payment files to the bank and accounting records.
All gathered in Simflexity.
For employees who use Pay-on-Demand, there is also the option to receive earned wages via Swish after a worked shift.

Sales, staff costs and tips
Simflexity is also integrated with Caliente's point-of-sale system Baemingo.
Sales data is pulled in and can be compared with staff costs, giving the restaurants up-to-date analysis of the business.
Tips are handled in Simflexity too.
Tip data is imported from the point-of-sale system ahead of the allocation.
Employees can then see their tips directly on their phones.
It means several parts of the restaurant's everyday are connected – from worked hours and sales to tips and payroll.
Not every year has been problem-free
Developing a product together with your customers also comes with challenges.
Over the years we have sometimes misunderstood needs, made things too complicated or been too quick to launch new features.
Sometimes things went wrong.
But Caliente has kept working with us.
We have had a direct dialogue, worked through the problems and continued developing the solutions together.
It has required patience from both sides.
Over the past six months the platform has become considerably more stable, and the restaurants have been able to carry on with their daily staff management while new features have been added.
Less administration and a personal contact
A recurring challenge for restaurant businesses is the cost of the systems needed to run the operation.
For Caliente, it has been important to bring more parts of staff management into one system, at a reasonable cost.

But it is not only the features that matter.
Caliente appreciates the speed, the direct communication and that we take care of problems when they arise.
That is also why the collaboration has been able to continue through several years of product development.
More than a customer
Caliente has been one of the cornerstones in Simflexity's development.
They have tested early solutions, made demands, reported problems and helped us understand what actually works in the everyday life of restaurants.
From the first service for pay after worked shifts to today's workforce system, the collaboration has continued.
And it keeps evolving.
For us at Simflexity, this is how we want to build the product.
Together with the people who use it every day.
